βοΈ The Subject Invitation Email: Sender, Delivery, and Resending
What the invitation email does
The invitation contains a secure link to the subject portal. From there the subject can:
- Review what is being checked and give consent.
- Complete the requested questionnaire.
- Upload supporting documents.
- Save their progress and return later, up until the deadline for the order.
Some checks need no subject involvement at all, so not every order sends an invitation. For those, no action is needed from the subject.
Who the email comes from
The subject is emailed by Scaut from the address info@scaut.com
If your subject has not received it
If a subject reports that the invitation has not arrived, work through these in order:
- Check the email address on the order. A small typo in the address is the most common cause. Confirm the address against your own records.
- Ask the subject to check spam and junk folders. Automated emails with links are often filtered there.
- Check for corporate filtering. If the subject uses a work address, their employer's mail system may quarantine external mail. A personal address can be a faster route.
- Whitelist the sender. Ask the subject, or their IT team, to allow the Scaut sender address.
- Resend the invitation. See below
Automatic reminders
Scaut also sends reminders to subjects who have not yet completed their part, so a missed first email is usually followed up automatically. For how reminders are timed and how many are sent, see "Understanding Reminders".
Resending the invitation
If a subject does not receive any of the emails (including reminders) , and takes the steps above to solve the problem then feel free to contact Scaut and we will manual trigger a new invite.
Helping a subject confirm the email is genuine
Subjects are sometimes cautious about clicking links, which is reasonable. You can reassure them with a few checks:
- The link leads to the Scaut subject portal (https://subject.scaut.com/).
- Scaut never asks a subject to pay anything to complete a screening.
- If in doubt, the subject can contact the organization that requested the screening to confirm it is expected.
