Billing - Filtering Transactions

The transactions list can grow long quickly, especially across a busy month or a large team. The Filters panel sits at the top of the list and lets you narrow it down to exactly the transactions you care about, whether that is reconciling this month's spend, chasing unpaid orders, or auditing a specific date range.

How to get there

The Filters panel is at the top of the transactions list. Click the Filters header to expand or collapse it. A small number badge next to the word Filters shows how many filters are currently active, so you can tell at a glance whether the list you are looking at is filtered or complete. Clear Filters in the top-right resets everything back to the default view in one click.

The panel is organised into two parts: Quick Filters for the common cases, and Advanced Filters for precise control.

Quick Filters

Quick Filters cover the three questions people ask most often about transactions. Each is a period selector with the same set of options: This Month, Last Month, This Year, and Last Quarter. Pick a period and the list updates immediately.

  • Order Transactions Completed: shows order transactions that have a paid status and a completion date inside the period you choose. This is the one to use for "what did we actually spend this month".
  • Orders Created: filters by when the transaction was created, regardless of whether it has been paid. Use this to see what was ordered in a period, including anything still outstanding.
  • Pending Order Transactions: shows only transactions that were created in the period but have not been paid. This is your view for chasing unpaid or outstanding items.

The distinction between completed and created matters. A transaction can be created in one month and completed in another, so the same transaction can appear under different periods depending on which filter you use. Choose the one that matches the question you are answering.

Advanced Filters

When a calendar period is not precise enough, the Advanced Filters give you exact control. They are split into two blocks: Time Frame and Status Filter.

Time Frame

This block lets you define a custom date window rather than a preset period. There are two pairs of date fields, and the distinction between them is important:

  • Created At From and Created At To: bound the window by when the transaction was created. This is the date the order or charge was first placed.
  • Completed At From and Completed At To: bound the window by when the charge actually occurred and credits moved. This is the financial event date, which is the one you typically want for accounting and reconciliation.

Click any field to open a calendar. Navigate between months with the arrows, click a day to select it, and use Today for a quick jump or Clear to empty the field. You can set just a From date for everything since a point in time, just a To date for everything up to one, or both to bound a precise range. The two pairs can be combined, for example to find transactions created in one quarter that were only completed in the next.

Status Filter

This block narrows the list by what kind of transaction it is and where it stands financially. It has three dropdowns:

  • Type: filters by transaction type. This is a multi-select with a search box, and the options are Order, Bundle, and Credit. Tick one or more to combine them, or leave it on All Types. Use the search box if the list of types is long. Multi-select is useful when, for example, you want to see orders and bundles together but exclude standalone credit movements.
  • Payment Type: filters by the payment method used, Card, Wallet, or Team. Leave on All Payment Types to include every method.
  • Status: filters by whether payment has been completed. Leave on All Status to see everything regardless of payment state.

How the filters work together

All active filters apply at the same time and narrow the list cumulatively. Setting a Quick Filter period and then adding a Type of Order shows only order transactions within that period, not one or the other. The badge next to Filters counts everything currently applied, so if a list looks unexpectedly short, expand the panel and check what is active.

A practical sequence for most tasks:

  1. Start with the Quick Filter that matches your question (completed, created, or pending).
  2. If you need a tighter window, switch to the Time Frame fields and set an exact range. Decide deliberately whether you are filtering on created or completed dates, since they answer different questions.
  3. Narrow further with Type, Payment Type, or Status as needed.
  4. When you are finished, click Clear Filters so the next person, or the next task, starts from the full list.

Practical tips

  • Match the date filter to the question. "What did we spend" is a completed question. "What did we order" is a created question. Mixing them up is the most common reason a total looks wrong.
  • Watch the active-filter badge. A lingering filter from a previous task is the usual explanation for a transaction that "should be there but isn't".
  • Combine Type as a multi-select. You do not have to filter to a single type. Selecting Order and Bundle together, while excluding Credit, is often exactly what reconciliation needs.
  • Clear Filters when you hand off. The view is not personal to you. Resetting it avoids confusing the next person who opens the list.
